Documentation
Everything you need to edit Asana tasks in Google Sheets.
1. Install and connect Asana
- Install Spreadsheet Editor for Asana from the Google Workspace Marketplace and open any Google Sheet.
- Go to Extensions → Spreadsheet Editor for Asana → Open Spreadsheet Editor.
- Click Connect Asana, sign in to Asana in the new tab and click Allow. Close the tab and click I’ve connected in the sidebar.
The add-on works with your own Asana permissions: you see and change only what you already can in Asana. To disconnect, click Disconnect at the bottom of the sidebar.
2. Pull a project into a sheet
In the sidebar, under New sheet from a project, choose the workspace, find the project and click Create sheet. Options:
- Include completed tasks: on by default.
- Include subtasks: subtasks appear right under their parent task, with the parent’s name in the Parent task column.
Each project gets its own tab. The add-on also adds hidden tabs whose names start with _spreadsheet_editor_. They hold the values as last seen in Asana, so it can tell what you changed. Don’t edit or delete them.
3. The columns
| Column | Editable | Notes |
|---|---|---|
| Task ID | No | Links the row to the Asana task. Leave it empty for new tasks. |
| Name | Yes | Can’t be empty. |
| Section | Yes | Dropdown of the project’s sections. Subtasks have no section. |
| Assignee | Yes | An email address (recommended) or a full display name. Empty means unassigned. |
| Start date, Due date | Yes | 2026-10-21, 21.10.2026 or 2026.10.21. A start date needs a due date on or after it. |
| Completed | Yes | Checkbox. |
| Notes | Yes | Sent as plain text when edited. |
| Parent task, Tags, Last modified, Link | No | Grey columns are read-only. Edits there are not sent. |
| Custom fields | Mostly | Text, number, single-select (dropdown), multi-select and people (comma-separated), date. Formula fields are read-only. |
| Sync status | No | Shows the result of the last send for each row. |
You can move columns, sort, filter and add your own columns. The add-on finds its columns by their header, so don’t rename the headers. A refresh rewrites the tab, so keep your own formulas on another tab and look tasks up by Task ID.
4. Edit tasks
Edit cells as you normally would: type, paste, fill down, use find-and-replace. Only cells whose value really changed are sent, so “5” and 5, or a date typed in another format, don’t count as changes.
Removing a row from the sheet never deletes the task in Asana.
5. Create tasks
Fill in an empty row below the tasks: a Name is required, and you can set the section, assignee, dates and fields. When you send, the task is created in the project and its new Task ID is written into the row.
6. Send changes to Asana
- Click Send changes to Asana… in the sidebar or under Extensions → Spreadsheet Editor for Asana.
- The preview lists every change (from → to), the new tasks, and rows that can’t be sent with the reason, for example an unknown option or an invalid date.
- Click Send to Asana. The Sync status column shows ✓ for each row that was saved.
A row is sent completely or not at all: if one cell in a row is invalid, the other changes in that row wait too. Fix the cell and send again; rows already sent are not sent twice.
7. Conflicts
Before sending, the add-on checks each task you edited. If someone changed it in Asana after your last refresh, your edit to that task is skipped and its Sync status says Changed in Asana since your last refresh. Click Refresh from Asana and redo that edit. Your other rows are sent as usual.
8. Undo last send
Undo last send… reverses the most recent send on this sheet: changed tasks get their old values back, and tasks that send created are deleted (they go to Asana’s trash, where they can be restored for 30 days). A preview shows what will happen first. Tasks someone changed in Asana after your send are skipped. Undo is available when the sheet has no unsent edits, and the sheet refreshes from Asana afterwards.
9. Refresh and automatic refresh
Refresh from Asana reloads the tab with the latest data. If the tab has edits you haven’t sent, you’re asked first, because refreshing discards them.
Under Automatic refresh, choose Every hour or Every day to keep all project tabs in this spreadsheet up to date. A tab with unsent edits is skipped, and a note on its first cell says so.
10. Trial, Free and Pro
- Trial: everything, for 14 days from first use.
- Free: pull projects and refresh them by hand.
- Pro: sending changes, creating tasks, undo and automatic refresh. After buying, paste your licence key under Plan in the sidebar and click Save key.
11. Limits
- Google stops each run after about six minutes. Very large sends stop early; click Send again to continue where it stopped.
- Subtasks: one level deep, up to 100 per parent.
- Notes longer than 45,000 characters are cut in the sheet and can’t be edited there.
- Dropdowns show at most 500 options.
12. Troubleshooting
The sidebar shows “PERMISSION_DENIED” or stays empty
This is a Google limitation when your browser is signed in to several Google accounts and the add-on runs under one that isn’t the first (default) account. Use a browser profile or window signed in to only that account, or sign out of all accounts and sign in to this one first.
“Connect Asana” doesn’t open anything
Allow pop-ups for docs.google.com, or right-click the button and open the link in a new tab.
“Missing column(s)”
A header was renamed or a column deleted. Undo that change, or refresh the tab from Asana.
“Unknown user”
Use the person’s email address as it is in Asana. Names only work when exactly one person in the workspace has that name.
